How to Write a Follow-Up Email to a Professor Who Has Not Replied
By GradMate.ai Editorial Team · Published October 31, 2026 · 3 min read
You sent a good email to a professor and heard nothing. That is normal. Professors teach, travel, review papers and receive a lot of mail, and a first message is often missed rather than rejected. One polite follow-up is acceptable and often works. More than that rarely helps.
When to send it
Wait 7 to 10 days after your first email. Sooner looks impatient. If the professor has an automatic reply saying they are away, wait until they are back.
Send one follow-up. If there is still no answer after two messages, move on and keep the professor on a "maybe later" list.
What a good follow-up does
- It is shorter than the first email: 50 to 100 words.
- It replies in the same thread, so they see your first message and your CV.
- It gives a new, useful reason to answer: a new result, a paper you have since read, an updated deadline, or a clearer question.
- It makes one easy ask, such as a yes or no on whether they are taking students.
A template
Subject: Re: Prospective PhD student: [topic], [your university]
Dear Professor [Surname],
I wanted to follow up on my email from last week about PhD opportunities in your group. Since then I have read your recent paper on [topic], and it reinforced how closely it relates to my work on [your area].
If you are not planning to take students for [intake], a short reply would also help me plan. I am happy to send anything else that would be useful.
Thank you for your time.
Best regards, [Name]
What not to do
- Do not guilt or pressure. "I have not heard from you" or "this is my third email" works against you.
- Do not send it the next day.
- Do not forward the same text with a new subject line. Reply in the thread.
- Do not copy several people from the same department.
If they reply
Answer within a day. If they say they are not taking students, thank them and ask if they know a colleague whose work fits. Short, kind replies leave a good impression and sometimes lead to introductions.
If they never reply
Apply through the programme's official process anyway. Many programmes admit students without a prior contact, and a missing reply is not a rejection. Put your energy into the next professor on your list.
Letting a tool track follow-ups
Keeping track of who you emailed and when is where it gets messy. In GradMate's Atlas, tasks keep a list of every professor you emailed, and Atlas writes the follow-up when the date arrives. You read it and send it yourself, and if they replied, you paste the reply and Atlas drafts your answer.
Frequently asked questions
How long should I wait before following up with a professor?
About a week to ten days. Allow more time if you know they are travelling or it is an exam period.
How many times can I follow up?
Once is normal. A second follow-up is the limit, and most people should stop after one.
Is it rude to follow up?
No. A short, polite follow-up is expected and professional. Rudeness comes from pressure, repeated messages and long emails.
